About The Role:
As Operations Coordinator, you will support the Operations and Leadership teams of CI in managing the logistical and administrative functions of the company. You will be the primary coordinator of company systems and platforms in consultation with the Operations team. Additionally, you will support the Leadership team of CI with executive assistant tasks as needed. The ideal candidate will learn systems and technology quickly and be an excellent organizer and presenter of information.
Key Responsibilities:
Operations Support
- Coordinate remote mail and shipping systems
- Implement, maintain, and train staff on company systems (cloud storage, time tracking, etc.)
- Coordinate collection and maintenance of client data
- Assist with data management and list hygiene within CRM
- Process and file Master Service Agreements & Work Orders
- Research, purchase and ship client gifts
- Monitor CI administrative inbox and providing customer service responses as needed
- Other administrative duties as needed
Information Technology Support
- Lead technical sessions in Capacity Interactive University (CIU), the first touchpoint for new employees
- Execute computer hardware purchasing and provisioning
- Coordinate hardware inventory and distribution
- Other administrative duties as needed
Boot Camp & Educational Content
- Assist Vice President of Operations in production managing Digital Marketing Boot Camp for the Arts, CI’s annual conference.
- Act as day-of stage manager for all virtual and in-person events
- Coordinate ticket sales and RSVPs
- Conduct attendee customer service communication
- Other administrative duties as needed
Executive Assistant
- Manage the calendars of leadership team
- Coordinate, book, and track all expenses for CI travel-related arrangements
- Track and report all CI Leadership team member expenses
- Take notes during all staff meetings and leadership retreats
- Other administrative duties as needed

Additional Requirements:
We are currently a fully remote company with no physical office. While we remain remote, this job requires a significant amount of time on-camera for internal and external video calls.
Due to the physical nature of this position, candidates must be able to lift 25 pounds and reside within the Tri-State area. While we are currently a fully remote company, you may be required to work from the Greater New York City area in the future.
Compensation:
The starting salary for this position is $48,000 annually.

Molly Shoemaker, Manager of People Operations, will initially review each application.
