Sterling’s operations manager position is a mid-level role consisting of three core functions; accounting, agency operations, and employee development. Success in this role requires impeccable detail orientation, continuous and proactive communication, a desire to improve systems and processes, and the ability to work independently and collaboratively. Our ideal candidate will have at least five years of experience in bookkeeping/accounting, office operations/IT, and human resources. 

Functional Responsibilities

Accounting

  • Manage the agency’s AP/AR functions

  • Create, send and follow up on monthly and project-based client invoices

  • Process semi-monthly payroll and expense reports for approximately 15 employees

  • Manage client POs and ensure all contracts are updated ahead of renewal dates

  • Manage cash flow/petty cash 

  • Oversee the 401(k) plan (including enrollment, funding and year-end testing)

  • Reconcile monthly bank and credit card statements

  • Oversee business insurance renewals

  • Run monthly YTD employee cost and project analysis reports to share with executive team

  • Manage YE processes and business taxes

Operations

  • Assist with managing Sterling’s technology infrastructure (Google Workspaces, Zoom, Slack, etc.)

  • Manage Sterling’s fleet of laptop computers

  • Manage office technology including video conferencing equipment, printer, monitors, etc.

  • Participate in the review and implementation of new vendors/services

  • Provide regular staff trainings on tools/resources

  • Manage vendor relationships

  • Ensure the office areas remains organized and tidy at all times

  • Manage offsite storage

  • Research and order employee/client gifts

  • Provide executive support to the CEO as needed

Employee development

  • Manage new hire and termination processes

  • Maintain PEO relationship and HRIS system (TriNet)

  • Reconcile FTO monthly and manage balances

  • Facilitate new hire orientation

  • Assist with planning and executing agency events including anniversary celebrations, monthly employee gatherings, quarterly volunteering efforts, and annual summits

  • Support recruiting efforts by reviewing resumes and coordinating writing tests/in-person interviews

    Qualifications

    Required skills and experience

    • Minimum of 5 years of work experience in an office environment, not including internships

    • Minimum of 2 years of general accounting/bookkeeping experience, including AR/AP, client invoicing, bank reconciliation, financial reporting (P&L, general ledger, etc.) and payroll processing

    • Proactive and assertive communication style 

    • Ability to work in a face-paced environment, both independently and collaboratively

    • Exceptional detail orientation and organization

    • Demonstrated ability to keep information confidential

    • Strong sense of ownership and the initiative to improve and streamline processes

    • Mac OS, Google Workspace,  MS Office, and Quickbooks Online skills are a must

    • Must be able to lift/carry up to 40 lbs, move office furniture occasionally, bend/crawl under desks for wiring equipment as needed

    • Experience supporting a business services company (e.g., public relations/creative/ad agency, law firm, consulting firm, financial services, etc.) 

    • Experience preparing corporate taxes and/or working with external accounting firms

    • High-level executive support, such as managing email, calendars, and travel arrangements 

    • Vendor management experience: VoIP phone system, IT consultants, PEO/HRIS providers, online tools

    • New vendor evaluation and implementation experience

    • Recruiting and performance management experience
