Washington Nonprofits is 10 years old. We have a small but mighty team of ten staff members serving over 30,000 nonprofits in Washington. We provide an extensive array of in-person and online learning opportunities for nonprofit professionals and volunteers. We are also a leading advocacy voice on behalf of nonprofits. We seek to connect nonprofits, foster collaboration and unified action both to create a better climate for nonprofits to operate and to improve how nonprofits serve our communities. This position is key to maintaining the momentum and reach that we have achieved. Future goals include increasing relationships and relevance for communities of color and rural communities, remaining nimble, delivering timely information and ideas, and staying accountable to our members and the greater nonprofit community.

Position Summary

The Administrative Associate provides administrative support to the Executive Director and staffs a changing array of special projects across the organization. The position requires a person with broad skills and the ability to adapt and perform a variety of responsibilities.

Duties and Responsibilities

1.       Executive support

  • Support various workgroups and committees, including scheduling, communications, agenda preparation and minutes.
  • Logistical support for the board of directors.
  • Data entry to record key meetings and activities.
  • Schedule meetings as requested.

 

2.       Interim staffing

  • Fill in for key staff during vacations, e.g. responding to information requests and providing customer service.
  • During staff vacancies, this person may be asked to step into key responsibilities of that role during the interim period. Duties will vary and may include communications, event planning and hosting, financial tracking, and grants management.

 

3.       Special projects

  • Manage special projects that improve the organization’s effectiveness.
  • Update policies and procedures.
  • Assist with community outreach and relationship building under the supervision of the Director of Community Engagement.
  • Assist with learning program offerings, in-person and online, under the supervision of the Director of Learning.
  • Assist staff in launching new initiatives.

 

4.       Contribute to a strong organization

  • Contribute to the visibility of the organization by representing Washington Nonprofits at events (both virtual and in-person when possible).
  • Bring ideas from events, meetings, etc. back to the organization to contribute to our on-going effort to understand and support nonprofits in Washington.
  • Promote Washington Nonprofits membership.
  • Support Washington Nonprofits advocacy work.

 

Desired Qualifications

  • Passion for and knowledge about the nonprofit sector.
  • At least 3-5 years related experience, preferably in a nonprofit setting.
  • An understanding of the nonprofit sector and fundamentals of nonprofit management, governance, and operations.
  • Demonstrated ability to work in a fast-paced environment and take on a variety of tasks as needed.
  • Strong comfort with technology and ability to learn new applications quickly.
  • Ability to manage multiple projects and priorities simultaneously; ability to switch gears quickly and enjoy a variety of assignments.

  • Demonstrated commitment to racial equity.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) is required. Experience with membership databases, MailChimp, and Salesforce preferred.
  • Ability to handle multiple tasks, projects, and priorities effectively and professionally.
  • Ability to travel within Washington state.
  • Room setup involving moving tables and chairs and some moderate lifting (up to 25 pounds) may be required on an occasional basis.

 

Additional Information

Location:                           Seattle Office with flexibility to work from home part of the workweek

                                                Some travel required, primarily within Washington State

FLSA Classification:          Full-time, non-exempt

Starting salary range:       $46,000-$52,000

                Plus benefits including paid time off and health insurance. 

Position Reports to:           Executive Director
