Family Reach is seeking a tech-savvy, mission-oriented Operations Manager to join our growing team in Parsippany, New Jersey. The Operations Manager is primarily an inward-facing role, helping to create an effective and efficient workplace that supports FR staff and their daily work.
The Operations Manager will report to and work very closely with the Senior Operations Manager to assess and meet the team’s needs by creating and improving organizational systems and procedures. This includes reviewing existing solutions and workflows, identifying pain points, conducting research on cost-effective solutions, and creating and communicating timelines for implementing improvements.
The ideal candidate is a self-starter, highly organized individual with excellent attention to detail. It is well suited for an individual who enjoys both learning and mastering a wide variety of tasks, as well as working with a number of different stakeholders.
Responsibilities include:
Technology Implementation & Maintenance
• Collaborate with the Operations team to improve existing systems and processes as well as to implement new solutions
• Support planning, analysis, design, implementation, testing and maintenance for all technology solutions
• Help identify the technological needs of the team by reviewing of existing systems or processes and collecting feedback from team members
• Research and assess potential third-party solutions, and ultimately make recommendations on new solutions to meet organizational needs
• Create implementation plans with detailed timelines and assigned roles for new/replacement technology solutions
• Collaborate with the Operations team to test new solutions
• Stay up to date on, test, and install new updates and patches for applications
Project Management
• In collaboration with the Operations team, maintain an updated technology roadmap and release schedule
• Create detailed work plans with detailed timelines and assigned responsibilities
• Monitor progress on key projects, comparing progress against agreed-upon work plans
• Create and circulate detailed notes and follow up items after appropriate calls and/or meetings
• Communicate important updates & activities to the appropriate team members
Training & Documentation
• Provide orientation and training for all technology solutions to new hires during the onboarding phase
• Lead regular trainings for all new technology solutions, while making sure to translate technical aspects to everyday terminology for the entire team
• Create documentation and training materials to support the organization’s existing use of third-party applications (e.g. Dropbox, Docusign, Beebole, Google Apps, etc.)
• Create and maintain updated documentation of processes and procedures
• Proactively solicit feedback from the entire team on areas to improve documentation and training moving forward
Position Qualifications
• Undergraduate degree required
• 2-5 years of relevant work experience
• Previous project management or technology implementation experience required.
• Must be highly organized and detail oriented
• Strong technical, analytical, project management and communication skills
• Ability to thrive in a fast-paced environment and prioritize while working under multiple deadlines
