As Editorial Assistant the ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative.  You are responsible for maximizing the Editor-in-Chief’s workflow and efficiency. The Editorial Assistant is expected to uphold the strictest confidentiality with highly sensitive information; exercise discretion, sound judgment, and in-depth knowledge of the organization to facilitate the Editor-in-Chief’s activities.

 

This includes but is not limited to managing Editor-in-Chief’s calendar/schedule, rolling calls, taking notes during meetings, prioritizing Editor-in-Chief’s task list, interacting with talent, managing internal meetings, routing/tracking internal documents for Editor-in-Chief’s approval, executing administrative duties, showing an understanding of the editorial and publishing process, proofreading, and working effectively with Editorial and other departments.

 

As an Editorial Assistant to the Editor-in-Chief and support for the Editorial Department, you are responsible for managing internal administrative duties related to the Editorial department at large. This includes but is not limited to building out tasks for consistent and continued workflow, tracking and updating internal docs, internal drive maintenance, working with both Media and Publishing Administrative Assistant’s to fulfill departmental requests, and maintaining company library.


Primary Job Responsibilities:

  •  Assisting Editor-in-Chief with a dedicated focus toward maximizing Editor-in-Chief’s productivity and efficiency through managing workflow and prioritization.
  • Routing and tracking internal documents being circulated for Editor-in-Chief approval.
  • Rolling calls, keeping a contact database, managing Editor-in-Chief’s calendar and task list.
  • Doing miscellaneous research for Editor-in-Chief, delivering coverage, and assembling decks and presentations when necessary.
  • Tracking selective talent in terms of check-in calls, Los Angeles visits, convention appearances, holiday, and special occasion gifts, etc.
  • Coordinating with Marketing on Editor-in-Chief’s convention travel and accommodations
  • Receiving and managing pitches and providing coverage for Editor-in-Chief and Editorial Leadership Team and coordinating pitch meetings.
  • Generating Weekly Editorial Agenda and distributing to Editorial and Design Departments on Monday mornings.
  • Taking detailed notes during meetings; disseminating recaps and action items to meeting attendees, and tracking progress on any action items.
  • Scheduling and managing internal Editorial department events and outings. 
  • Detail-checking Cover Review Sheets and routing to appropriate team members.
  • General proofreading and copyediting for Editorial
  • Building out future tasks for Work Orders, Production Board Updates, Editorial workload updates, Quarterly Licensor updates; checking in with Assistant Editors and Editors on outstanding Work-For-Hire Vouchers.
  • Maintaining company library and reference library; adding, collecting, and restocking books, tracking sign-out sheet, and coordinating donation with Marketing.
  • Performing other job-related duties and projects as assigned.

 Required Qualifications

 

  • Undergraduate or High School Diploma or (G.E.D) General Education Diploma required
  • Minimum of 3 years of experience as an editorial assistant or performing editorial related work and/or prior publishing
  • Knowledgeable use of MAC OS
  • Proficient and experienced in Microsoft Office (Word, Excel, and/or PowerPoint
  • Ability to work in an environment and collaborate effectively as a team member.
  • Ability to communicate at all levels with internal/external clients by phone, email, video conferencing and face to face
  • A positive attitude with good organizational and writing skills


Preferred Qualifications 

  • Previous editorial assistant/administrative experience
  • Familiarity with Google Calendar and Google Meet
  • Familiarity with Google documents, sheets, etc.
  • Communication/editorial background
  • Ability to use the phone to make and take calls professionally
  • Possesses strong leadership qualities, as well as strong verbal and written communication skills
