OVERVIEW

Automox is searching for a dynamic, engaging, and task-oriented Executive Assistant to join our team. The Executive Assistant will work directly with all members of the senior team and will be responsible for coordinating and executing a wide variety of tasks across the entire company. Ideal candidates combine relentless attention to detail and on-time delivery, with an uncanny knack to adapt to the constantly changing landscape of an early stage technology startup. We are looking for someone who is self-motivated, professional, and capable of independently managing their workload and prioritization of tasks without oversight.

In addition to supporting the senior team, the Executive Assistant will also play an active role in managing the daily operations of the office and coordinating the new employee onboarding process. This position will be based in our Downtown Boulder office.

THE FUN STUFF

  • Meetings and Events

    • Support CEO to coordinate all board meeting details including scheduling, communications, and board package preparation

    • Coordination and execution of our bi-weekly all hands meetings

    • Coordination of the senior team and departmental off sites

    • Support the weekly senior team L10 meeting, and manage follow-ups and prep for the coming week.

    • Coordinate / create a wide array of internal happy hours, social gatherings, summer and community events (ex. Boulder Startup Week)


  • Manage and enhance the new employee onboarding experience

    • We want to give those that come to work with us a fantastic onboarding experience and we want someone to fully own this. Ensure new employees have the right equipment and welcome package upon arrival.

    • Manage the new employee meeting schedules to ensure that new employees know where to be and what meetings they need to be in.

    • Manage our parking and parking waiver incentive programs

    • Manage new employee onboarding into benefits and payroll system (Trinet) including I9 verification


  • Keep things running smoothly - Office logistics

    • Key liaison with our landlord and office contractors (electrical, demolition, etc)

    • Keep the office stocked with snacks

    • Manage facilities people/cleaning crew


  • Communications / Relationships

    • Coordinate executive communications, including taking calls, responding to emails and coordinating with key customers and partners

    • Schedule meetings and appointments, and manage travel itineraries

    • Manage all global google email aliases across the company


SKILLS AND ATTRIBUTES:

  • 5+ years of executive administrative experience

  • Experience working in a high-velocity corporate work environment

  • Proven world class product management skills

  • Strong verbal and written communication capabilities

  • Highly organized and sweats the small stuff
