Job Summary

 

We are seeking an innovative and experienced Tradeshow and Events Manager to oversee all aspects of event planning, and managing all areas of congresses, symposiums, and trade show. The Tradeshow and Events Manger plays an important role in strengthening our brand and deliver consistent messaging at all events.

 

 

Primary Duties and Responsibilities

      Manages all aspects of congresses, trade shows and larger meetings, including determining locations, materials, speakers, preparing/setting up equipment, collateral and presentations, and managing all logistics.

      Tracks and reports on tasks, timelines, and costs for all phases of tradeshow preparation, execution, and evaluation for individual shows.

      Coordinates planning, logistics, and paperwork for transportation and delivery of all trade show materials. Procures and coordinates exhibition services including ordering of related show services, tracking purchase orders, making pre-payments for show services, reconciling post-show invoices, and making final payments.

      Prepares the trade show budget and is responsible for reporting actual expenses v. budgeted expenses for all tradeshows and events.

      Identify and coordinate trade show sponsorships and promotions, including advertising, direct mailings, etc. 

      Leads pre-conference meetings with internal attendees to review marketing strategy, key messages, basic logistics, booth staffing scheduling, etc.

      Conduct event postmortem to identify strengths and areas of improvement.

      Maintains and communicates annual master trade show calendar.

      Manages the facility tour experience where visitors can learn about human milk processing and the unique quality and safety profile found only at Prolacta Bioscience.

      Manages facility tours logistics by setting the agenda, coordinating presenters, coordinating guests travel, and capturing metrics.

 

 

Job Requirements and Qualifications

 

      Bachelor’s degree in Business, Marketing, Communications or, equivalent of education and experience sufficient to successfully perform the essential functions of the job may be considered.

      3-6 years’ experience.

      Expertise in standard concepts, practices and procedures of trade show and booth coordination.

      Strong project management skills with ability to simultaneously manage multiple projects, priorities, and deadlines and to adapt to continually changing project information, inputs, and priorities.

      Demonstrated ability to manage vendors including selection, specification of projects, and contract and pricing negotiations to achieve required results.

      Demonstrated organizational skills with attention to detail, accuracy, and follow-through.

      Able to apply knowledge of business products, market, policies/procedures, and marketing programs in order to make independent decisions on how to best coordinate tradeshows and positively resolve any relationship, service, quality, and billing or delivery issues.

      Adept at database management, Microsoft Office, and Adobe software applications, Hubspot and Salesforce.

      A strong technical aptitude and excellent written, verbal, and presentation skills.

      Must be willing to travel.

      FLSA Status: Exempt

      This job operates in a professional office environment. This role routinely uses standard office equipment such as laptops, smart phones, photocopiers/scanners, shredders and filing cabinets.

      This is a full-time position, and hours of work and days are Monday through Friday, 8:30 a.m. to 5 p.m.
