Role Description

The Document Management Administrator ensures TAG’s client tax documents are processed accurately, efficiently, and on time. This team member plays an essential role in maintaining the integrity of TAG’s document flow, which is a foundation of the firm’s ability to meet tax deadlines and deliver exceptional client service. The role requires high attention to detail, full ownership of assigned processes, and strong collaboration with internal teams. The ideal candidate understands how their work connects to the broader client experience and contributes to a culture of accountability, organization, and continuous improvement.

 

Responsibilities

  • Process all incoming and outgoing mail, including tax documents, filings, and certified mailings, according to established workflows.
  • Perform routine mail runs to the post office and manage delivery logistics for outgoing correspondence (FedEx, UPS, USPS).
  • Maintain the accuracy and organization of digital files using TAG’s standardized naming conventions and retention policies.
  • Track and log document flow to ensure visibility and timely handoff across internal teams.
  • Communicate proactively about issues, discrepancies, or risks to deadlines.
  • Provide cross-coverage and support for peers to ensure consistent processing during absences or high-volume periods.
  • Support periodic audits, quality checks, and special projects related to client documentation.
  • Participate in continuous improvement discussions to help streamline workflows or reduce manual steps.
  • Collaborate closely with the Document Administration Manager and team leads; may support transition of certain tasks if roles are restructured.

 

Qualifications

Required 

  • 3–5 years of document administration, client operations, or process-driven administrative support.
  • Reliable transportation for daily mail retrieval and delivery.
  • Strong proficiency with Microsoft Office (especially Excel), with the ability and confidence to quickly learn and navigate internal systems as needed, to complete daily work.
  • Highly organized, detail-oriented, and deadline-driven.
  • Clear written and verbal communication skills.
  • Demonstrated accountability and accuracy in managing process-based work.

 

Preferred 

  • Experience in property tax consulting, real estate, or financial services.
  • Familiarity with document management systems, workflow software, or client portals.
  • Desire to learn the business context behind document processes and grow within the function.
