Position Summary: As part of the Funder Organizing Department, the Foundation Relations Associate works with the Senior Foundation Relations Manager, Grant Writer, and Director of Funder Organizing  to support  Groundswell’s community of institutional funders and other philanthropic partners. This position will manage the day-to-day operations and administration of the institutional fundraising program as well as provide support for all funder outreach, engagement, and stewardship efforts.

Foundation Fundraising & Grants Support (approximately 50%) 

      • Oversee grant-related deadlines to ensure all reports, proposals, and other requested materials are submitted on schedule and in compliance with grant requirements.   
      • Manage grants tracker and calendar including documentation of proposal/report submission processes, grants intake, and maintaining up-to-date records of funder communications in database/file storage platform.   
      • Assist with the preparation of supplemental materials for grant requirements and coordinate with the finance team for budget reporting. 
      • Support funder meetings, including scheduling, creating briefers, and note-taking.   
      • Partner with staff to promptly respond to all funder inquiries, information requests, and communications. 
      • Process, acknowledge, and track incoming grants in a timely fashion. 
      • Conduct and synthesize research on institutional funders, funder networks, and affinity groups.  


Program Planning & Management (approximately 35%) 

      • Support grant writing processes by gathering requirements for proposals and reports in order to review with the Senior Foundation Relations Manager and Grant Writer. 
      • Ensure timely collection of programmatic and budgetary information needed for grant deadlines and annual reporting. 
      • Support content development for boilerplate materials and annual report, including managing project timeline, content review, and collecting supplemental materials. 
      • Support the writing and copy editing of content for funder communications.  
      • Collaborate with staff to ensure consistent messaging across communications.   
      • Support the planning and execution of annual funder briefings and end-of-year fundraising campaigns.  
      • Assist with responding to funder requests including annual surveys and supplemental materials. 
      • Monitor and update organizational profiles in foundation portals.  


Data Management & Administration (approximately 15%) 

  • Maintain funder data to ensure all funder information is current and well organized, ensuring data integration and quality control. This includes - capturing grants activity in Neon, data cleaning, and (re)organization.  

    • Support data migration to Neon CRM, including populating current and past data for grants and foundation partners. 

      Interfacing with Communications Director, Database Manager, and implementation consultant(s) to achieve optimal CRM system functionality & data integration with other departments.

      • Maintain data systems used in cross-collaboration with the finance team including but not limited to monthly reconciling of revenue data, tracking grant payments, and invoices. 
      • Manage scheduling, filing, note-taking, and other administrative tasks for the foundations team and the Funder Organizing Department, as needed. 




          • At least 4-5 years experience in foundation and/or grants administration.   
          • At least 2 years experience in project management and operations in non-profit and/or an institutional giving program.  
          • Excellent organizational skills and strong attention to detail. 
          • Ability to work gracefully under pressure and be accountable for meeting deadlines.    
          • Ability to prioritize and manage shifting duties in a fast-paced environment. 
          • Adaptable, flexible, and willing to grow with the needs of the organization. 
          • Impeccable judgment and discretion in dealing with sensitive information.  
          • Excellent written and verbal communication skills.

          • Familiarity with CRM systems (Neon CRM is a plus) and funder/donor information management best practices.  
          • Experience with Slack, Asana, GSuite, Microsoft Office, and Zoom.  
          • Experience working in social justice movements. 
          • Fluency in spoken English and written English.  


      Computer Skills: To perform this job successfully, an individual should have proficiency with Microsoft Office suite of programs including Excel and Word, Microsoft Office 365, Outlook, Outlook Calendar, SharePoint, Zoom, Neon, Fluxx, ASANA, and Concur a PLUS.   


      Travel: Candidate must be available to travel at least 6 times a year for overnight events/meetings across the U.S. Travel needs will be evaluated and determined on an ongoing basis with an eye toward staff safety as we continue navigating COVID-19. 


      Compensation/Benefits: Annual salary is $75,720 or commensurate with experience. Groundswell Fund is currently in the midst of salary benchmarking study. The salary for this position may increase in the future. Very generous benefits include fully paid for employee and family health, dental, vision, matching 401K plan, as well as additional employer-provided reimbursements for fertility expenses, gender tranisition health care costs and midwifery/doula expenses that are not covered by insurance. Three weeks of vacation upon hire and a generous holiday schedule including a week during the summer and the last two weeks of December, as well as a flexible work schedule.
