Job Description Overview

The Program Assistant provides critical support to the Youth Programs team. Responsibilities of the Programs Assistant include assisting with administrative tasks within the programs team as well as facilitation in the space. These duties include responding to community and youth inquiries and program enrollments promptly and professionally; creating organizational systems for efficiency; designing calendars and communication of programs; answering phones and responding to emails; supporting the needs of Program Coordinators; supporting program facilitation; and engaging professionally with youth, volunteers, colleagues, and the public. The Programs Assistant complies with all Inside Out policies and procedures. The duties included herein are not meant to be exhaustive, but are representative of typical expectations, and the Programs Assistant must be flexible to adjust to rapidly changing needs of youth and the agency.

  • Hours: Monday-Friday 10:30 a.m. – 7:00 p.m. (some weekends and evenings may be required)
  • Pay: $19.00-$21.00 / hour

Responsibilities

Additional Duties as assigned.

Office

 

  • Be timely and present for all scheduled shifts, including prompt arrival for trainings, meetings, and other responsibilities as an active participant
  • Coordinate with Programs Team and Administrative Assistant on maintaining accurate records, calendars, schedules, and Case MGR information
  • Respond promptly to program inquiries and enrollment scheduling via email or by returning voice messages, and provide information about our services, directing inquiries to appropriate staff members as needed
  • Maintain order and cleanliness of the physical space, including coordinating snack closet, supplies, and other needed materials
  • Manage and track youth incentives, bus passes, resources, and other monetary forms of compensation for young folx
  • Answer phone calls and emails, both individual and programmatic, and handle walk-ins while adhering to youth confidentiality
  • Ensure organization of files and records in accordance with established protocol; scanning and digitizing records as needed

 

 

Communication/Events

 

  • Work collaboratively with Programs and Communications Teams to develop content and provide updates about programs for website, social media, newsletters, and community calendars at least one month in advance.
  • Ensure accuracy of website, event, and programs calendars
  • Participate significantly in the planning and delivery of youth events such as Queer Prom, Youth Pride, Holiday meals/parties, and HallowQueen Promote special events to youth/young adults 
  • Support Outreach team with tabling events when needed; coordinate tabling materials
  • Attend all special events  

 

 

Programs

 

  • Build safe, positive relationships with young people and demonstrate exemplary values in adherence to established IOYS team values
  • Assist Program Coordinators with program preparation, assist with program development, implementation, and support programs in Coordinator’s absence
  • Facilitate in virtual Discord space Conduct first contact conversations with youth and enrollment interviews
  • Facilitate Food to Power resource distribution and the volunteer driver delivery schedule
  • Refer youth to IOYS programs and staff as well as external programs to support their needs, including substance use prevention, smoking cessation, recovery coaching, clinical mental health services, and other needs that arise
  • Maintain updated lists of referring organizations and resources for internal and external use
  • Comply with all mandatory reporter regulations
  • Schedule and conduct tours for youth, parents, and interested community members
  • Communicate youth concerns with Program Manager and work to problem-solve youth issues
  • Fill out incident reports and support volunteers with incident reports when needed
  • Potential to co-facilitate youth programs and focus/support groups in conjunction with program staff, to be determined based on areas of interest and expertise
  • Attend regular all-staff meetings, weekly programs team meetings, supervisor check-in meetings, and other meetings as they arise; keep minutes of all meetings or assign note taker
  • Support outreach and education efforts as requested, such as TransParenting and education events involving youth and their families/caregivers

 

 

Volunteers

 

  • Coordinate with Volunteer Coordinator and Program Manager on volunteer staffing needs, volunteer monthly calendar, and ongoing task list for volunteers
  • Coordinate with Volunteer Coordinator to ensure volunteers are welcomed and supported in the space, providing training as necessary
  • Assist with volunteer training and orientation in collaboration with other IOYS staff

 

 

Qualifications

Required Education and Experience

 

  • Associate degree or at least 2 years of administrative experience.

 

Required Knowledge, Skills, and Abilities

 

  • Proficient knowledge of the Microsoft suite, as well as a capacity to quickly learn new software.
  • Ability to handle and maintain confidential data Excellent verbal and written communication skills, including strong organizational, detail, and interpersonal skills.
  • Exceptional at maintain detail and following routine filing practices.
  • Creative and adept at planning, prioritizing, organizing and following through; able to balance multiple competing priorities.
  • Ability to work as a member of a team, but also be a self-starter; able to work under pressure and complete multiple tasks simultaneously.
  • Demonstrates flexibility to actively support change in order to meet strategic goals and objectives.
  • Knowledge of LGBTQIA2+ youth/young adult topics.
  • Competency and comfortability with discussing difficult topies with youth/young adults.
  • Demonstrated ability to set and support healthy boundaries in a youth/young adult community.
  • High sense of responsibility and commitment to the mission and policies/procedures of IOYS.
  • Must have reliable transportation to and from community center for assigned shifts

 

 

Preferred

 

  • 2 years of youth/young adult development experience.
  • Familiarity with Discord or other virtual platforms.
  • Competency in anti-racism and anti-oppression Experience with drop-in center atmosphere.
  • Experience building systems and structures for growth-stage organizations.
  • Experience with the Pikes Peak Region; familiarity with partner organizations and established relationships within the nonprofit and human/social services community.
  • Previous experience working with high-risk youth and vulnerable communities, especially LGBTQIA2+ youth and families.
  • Possess and maintain a valid driver's license with personal motor vehicle insurance

 

Typical Work Environment

Office setting with occasional work outside the community center, both at external venues and outdoors with some work at a computer station and some work that requires movement around the community center. Position requires the ability to occasionally stand for extended periods of time. Position requires the ability to occasionally lift up to 30 pounds. Work environment involves everyday risks or discomforts that require normal safety precautions typical of such places as offices or meeting rooms, e.g. use of safe work place practices with office equipment, and/or avoidance of trips and falls and observance of safety.

About Us

Inside Out Youth Services (IOYS) is a 501(c)(3) nonprofit organization, established in 1990 to build access, equity, and power with LGBTQIA2+ youth of the Pikes Peak region. We are the primary LGBTQIA2+ nonprofit community serving LGBTQIA2+ youth (ages 13-24) in El Paso County. We provide a safe space for gender and sexuality diverse youth and young adults to grow their identities, learn leadership skills and develop the tools needed to both thrive personally and to act as agents of change in their communities. We also provide outreach education throughout the region to create a supportive climate for LGBTQIA2+ youth. IOYS accomplishes these goals through our weekly programming, targeted leadership development opportunities, community partnerships, and through educational outreach to local school systems, healthcare agencies, and other groups providing education and care to LGBTQ+ youth and young adults.
