The American Society of Adaptation Professionals (ASAP) connects and supports climate change adaptation professionals to advance innovation and excellence in the field. We are seeking our first full-time Finance & Operations Manager to aid the stability and growth of the organization. This position will provide leadership planning, implementing, managing, and controlling all aspects of the organization’s finance-related activities. The Finance Manager will coordinate with the Board President, Executive Director and other members of the leadership team on forecasting and securing new funding for programs and operations. This will include monitoring and administering grants and contract proposals and awards, quickly and accurately responding to the needs of individual (~700) and organizational (~25) members, and supporting compensation and benefits administration for the organization.


This is an at-will position with funding currently available for one year and with an intention to extend. It includes an annual salary between  $60,000 and $65,000 and benefits which include health insurance, 401K matching, and generous PTO. Location is U.S. based, but otherwise flexible. This position reports to the ASAP Executive Director.

 

 

Responsibilities 

Accounting

  • Oversees and manages the processing of invoices, remittance of payments, cash deposits, and monthly bank reconciliations.

  • Implements and maintains systems and controls to protect the assets of the organization.

  • Manages individual and organizational member dues reconciliation.


Contracts and Grants Management
  • Reviews pre-award grant applications for compliance with policies; analyzes and negotiates terms and conditions of pre-award among multiple departments.

  • Develops standards for contracts, including preparation of the budget, payment terms, general language, and provisions.

  • Ensures that contracts and proposals are properly tracked.


Compensation and Benefits Administration
  • Coordinates with the Executive Director and the company’s PEO to review employee insurance and benefits plans annually to determine the cost implications for the organization.

  • Manages bi-weekly payroll processing for all staff and contractors


Strategy and Planning
  • Coordinates with the Executive Director & Board President to provide technical assistance on budget planning and provides strategic advice regarding the financial implications of programs and operations.

  • Evaluates short and long-term strategic financial objectives in coordination with the Executive Director & Board President and leadership team on an ongoing basis.

  • Completes ad hoc financial analysis in a knowledgeable and flexible manner to aid in business decisions.

Qualifications

Accounting Knowledge and Skills

  • Advanced knowledge of Generally Accepted Accounting Principles (GAAP) for nonprofit organizations

  • Skill in budget development, budget forecasting, cost analysis, and cash flow management at all levels of operation, from project to firm-wide.


Workplace Skills and Abilities

  • Good oral and written communication skills 

  • Ability to work cross functionally and at all levels of an organization.

  • Ability to manage multiple deadlines and systems simultaneously while paying attention to details.

  • Ability to anticipate needs and multi-task with limited guidance in a fast-paced environment.

  • Desire and ability to work both in a team and independently.

  • Interest in facilitating existing processes while also introducing new ideas.

  • Commitment to the principles of justice, diversity, equity, and inclusion.


Software and Technology Skills and Experience

  • Experience using Quickbooks Online.

  • Fluency using video and audio calling, text, email, and digital calendar to connect and communicate across a remote team.

  • Proficiency in MS Office with advanced knowledge of Excel.

  • Proficiency in Google Suite (GMail, Google Drive, and Google Calendar).

  • Experience working with PEO to track employee compensation, benefits, and time off

  • Experience using NeonCRM and NeonPay (preferred)
