As we continue to grow, we are seeking a proactive, confident, and highly organized Executive Assistant to support our executive team.

 

Position Overview:

The Executive Assistant will provide comprehensive administrative support to the CEO, President, Chief of Staff, Chief Business Development Officer, CFO and CTO. The primary objective is to ensure seamless daily operation for the CEO and his team. This role requires a strong, confident individual capable of efficiently managing schedules, projects, and meetings. The ideal candidate is agile, resourceful, and a strategic thinker with exceptional organizational skills, meticulous attention to detail, and the ability to handle sensitive information with discretion. Thriving in a fast-paced environment, the candidate must adeptly manage multiple priorities with professionalism and poise while maintaining strict confidentiality.

 

Key Responsibilities:

For the CEO -

CEO General Manager: First and foremost, this person will be the assistant and daily manager of the CEO on all matters surrounding business and personal life. 

Daily Standups: Start each day with a daily stand-up with the CEO to align the day, remove the clutter, set goals, and follow-up at the end of the day.

Virtual Meeting Partner: Unlike many EA roles, this position will attend many (not all) meetings daily with the CEO for note-taking, project planning, and managing lists of to-dos for all parties. Assist in preparing for meetings by organizing materials, taking notes, and ensuring follow-up tasks are completed.

Meeting Coordination & Management: Organize and prepare materials for meetings, including agendas, presentations, and reports. Ensure the CEO is well-prepared for all engagements and more importantly, the follow-up on action items developed in meetings.

Project Support: Assist with special projects and initiatives as needed. This may include outbound, research, data analysis, and coordination with other departments to ensure project milestones are met.

Email Management: Manage the daily email account and general inboxes of the CEO and all his communication tools. 

Sales Support: Prepare emails and outgoing messaging via LinkedIn and email for meeting with clients and prospects during business travel.

Calendar Management: Efficiently manage and prioritize the CEO’s calendar, scheduling meetings, appointments, and events. Ensure optimal time management and coordination with internal and external stakeholders. Remove unnecessary meetings from the CEO's calendar daily.

Communication: Act as the primary point of contact for all communications directed to the CEO. Screen and handle incoming calls, emails, and correspondence with professionalism and tact. Track down CEO with critical items or when external parties need him via text, phone, email or Slack.

Travel Arrangements: Coordinate and manage all travel arrangements for the CEO, including booking flights, canceling & changing flights, accommodations, and ground transportation. Prepare detailed itineraries and handle any travel-related issues.

 

For The Executive Team -

The executive team will have different requests based on individual needs. The below responsibilities are likely to be the most common.

Executive Team Support: Act as a liaison between the executives. This person will commonly work on behalf of the CEO with the President, Chief of Staff, CTO and CFO to align projects, agendas, tasks, action items and calendars. The executive team works closely together and thus will be in regular communication and planning with this individual for coordination.

Document Management: Proofread, and edit documents, reports, and presentations. Maintain organized and confidential records and files.

Calendar: Assist the executive team in coordinating large group meetings and calendar management.

Executive Meetings: Handle logistics and coordination of Board meetings.

Travel Arrangements: Coordinate and manage all travel arrangements including booking flights, canceling & changing flights, accommodations, and ground transportation. Prepare detailed itineraries and handle any travel-related issues.

Expense Submission: Manage expense report coordination and submission with the accounting team.

 

 

Preferred Qualifications:

Education: AA or Bachelor’s degree 

 

In-Person Tuesday & Thursday Work: Ability and desire to work some portion of the day in-person when the team is in office Tuesdays and Thursdays.

 

Preferred Skills & Past Experience:

  • Project management experience.

  • Strong leadership skills. 

  • Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.

  • Strong written and verbal communication skills.

  • Google Suite: Sheets, Docs, Presentations

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with project management tools and software.

  • High level of discretion and ability to handle confidential information.

  • Flexibility and adaptability to changing priorities and demands.
