DevonWay is based in San Francisco, with additional offices in Salt Lake City, Charlotte, Portland, and Munich. 

Position

This position is for a part time Administrative Assistant reporting to the Manager of Finance and HR.  This is an integral position that ensures the efficient operation of the corporate office by performing necessary organizational, administrative, and book-keeping responsibilities. Tasks include accounts payable, accounts receivable, responding to voicemails, and various other administrative assignments. Other members of the management team may request assistance with tasks as needed.  The Administrative Assistant schedule can be flexible and remote.  Some time spent in the office will be encouraged when it is safe to do so.

The position will require about 20 hours/week to start, and has the potential to grow into a full-time position with benefits depending on company needs and employee growth goals.

Any, including remote, but preference given to Salt Lake City

Key areas of responsibility:

·         Provide general administrative support to the team, including support with expense reports, invoice management, and calendaring

·         Monitor and distribute voicemails to appropriate teammates

·         Prepare materials and schedule meetings

·         Order and maintain supplies and equipment, and work with office-related vendors

·         Assist in booking travel arrangements

·         Research and arrange team building experiences and events

·         Assist in paying bills and collecting receipts from team members

·         Inquire after unpaid customer invoices

·         Assist Financial Manager, CEO, and other supervisors as needed

Requirements:

·         Knowledge of office management systems and procedures

·         Ability to follow instruction and work independently

·         Ability to proactively communicate needs, priorities, challenges, and recommendations

·         Proficient in Microsoft Office tools, including Excel, PowerPoint, and Word

·         Excellent oral and written communication skills reflecting solid customer service in person and via the telephone and email

·         Excellent organizational abilities, attention to detail, promptness, dependability, and discretion with sensitive and confidential information

·         Able to quickly learn new concepts

·         Bachelor’s degree required (or in progress)

·         Ability to pass a criminal background check

·         Book-keeping experience strongly desired

·         U.S. Citizenship or Permanent Residency required
