Neurohacker Collective is seeking an Office Manager (Part-time, M-F, 10am-2pm) with great people skills to assist with handling administrative duties and daily office operations.  Our ideal candidate is organized, resourceful, and possesses excellent written and verbal communication skills as well as creative and efficient problem solving abilities. Assuring a consistent completion of workload in a timely manner is key to success in this position.This candidate must have great knowledge of office administration, must be positive and extremely friendly.


Primary Duties and Responsibilities:


  • Act as the company’s primary receptionist greeting guests, coordinating with visitors and deliveries.

  • Provide back-up support for the CEO’s executive assistant to ensure smooth business operations.

  • Maintain the functionality and good feeling of the office to include the kitchen, wellness area and storage room. Oversee ordering and care for the office space.

  • Ensure operation of office equipment, order maintenance when necessary. Troubleshoot malfunction of office equipment. Train other team members on the equipment. 

  • Manage Facilities

    • Serve as direct contact and communicate with property manager/landlord

    • Utilities Management (Internet, Phones, Electric, etc.) 

  • Help develop, update, and implement appropriate office policies. Ensure they are aligned with the company’s culture and meet legal compliance.

  • Assist sales and marketing team with miscellaneous administrative tasks and support for trade shows and events (travel, product needs, booth reservations, etc.)

  • Event planning and coordination: reserve space, set up AV, order food, room setup and cleanup etc.

  • Manage daily agendas for conference rooms.

  • Check mailbox daily and receive in-office deliveries for distribution to the proper department/team member.

  • Organize monthly employee birthday celebrations and plan/coordinate company holiday celebrations.


Qualifications:


  • High School Diploma or equivalent required.  College Degree highly preferred.

  • 3 years of related administrative experience.

  • Outstanding verbal and written communication skills.  Clearly communicates thoughts, both verbally and in writing, actively listens and asks questions for clarification and understanding.

  • Proven proficiency in Google Suite and Microsoft Office Suite.

  • Demonstrated experience planning, coordinating, organizing, and executing events with close attention to detail. Demonstrated experience managing logistical details of assigned events from inception to completion.

  • Excellent organizational skills; ability to successfully follow multiple tasks through to completion; must be able to prioritize tasks to meet established deadlines while working in an environment with frequent interruptions; ability to exercise good judgment for problem solving and ability to anticipate problems.

  • Demonstrate professionalism in dealing with confidential information

  • Start-up and/or Entrepreneurial background preferred

  • Light lifting of office and kitchen supply items

  • Valid driver’s license
