About the Role:  

In a pivotal role crucial to the growth and impact of our organization, the Data and Operations Manager is at the forefront of optimizing processes and ensuring seamless operations. As a full-time steward of our data and systems, you will play a key part in enhancing organizational efficiency and storytelling. This multifaceted role demands a balance between the big picture and intricate details, leveraging strengths in data reporting, systems building, user adoption, and project management. 

This position is instrumental in establishing and supporting the adoption of Salesforce, along with other operational systems, to drive our organizational impact. You will lead the charge in building out these systems, ensuring their seamless integration, and fostering a culture of adoption across the organization. Your efforts will not only be pivotal in optimizing data reporting and project management but will also contribute significantly to the overall efficiency and success of our nonprofit initiatives. 

 POSITION OVERVIEW 

Systems Building: Ensure our new Salesforce instance becomes the cornerstone of organizational data management. 

  • Spearhead the establishment of Salesforce as a foundational and reliable source of truth. 

  • Drive setup, customization, and optimization of Salesforce to meet organizational needs. 

  • Lead the implementation of new processes and innovative tools like Form Assembly, Campaign Monitor, and our Experience Cloud for applicants/grantees. 

  • Establish and oversee the initial data clean-up process, setting the standard for ongoing data integrity and maintenance practices. 

Data Reporting: Develop systems to report to key audiences. 

  • Collaborate with teammates to input necessary data into our Salesforce and develop reporting dashboards  

  • Analyze and translate our data to tell stories of our impact from our data. 

 Project Management:  

  • Manage and execute a roadmap of system priorities, resolving competing priorities.  Collaborate with team to scope, build, and launch Salesforce features in sprints. 

  • Actively listen in team meetings and communication channels to distill user needs effectively. Keep those user needs organized in our project management backlog. 

  • Liaise with leadership to raise flags and clear roadblocks to short-term and long-term data, operations and Salesforce success. 

 Team Operations: Enhance organizational efficiency, support team processes, and manage various operational aspects. 

  • Grow the efficiency of data tools, systems, processes and procedures to enhance and sustain the organization’s internal capacity. 

  • Lead Salesforce onboarding and maintain up-to-date Salesforce onboarding materials. 

  • Administer internal operational systems subscriptions/budget and software licenses. 

 User Adoption: Ensure staff feel supported and confident in their ability to use our systems to maximize impact. 

  • Onboard new staff to team systems (Salesforce, Asana, SharePoint, etc.). 

  • Design and maintain a knowledge base of Salesforce documentation. 

  • Establish a Salesforce support request system for efficient issue resolution and user support. 

  • Conduct comprehensive user training sessions, ensuring staff feel confident in navigating and utilizing Salesforce and other tools. 

 

Requirements 

  • 2+ years of Salesforce experience as a power user or Salesforce Admin. Being a Certified Admin is a plus, but if you already have those skills and just haven’t taken the test yet, we’d still love to see your application. 

  • Demonstrate an innovative and solution-oriented mindset in building out new processes and systems. 

  • 1+ years of nonprofit experience preferred. 

  • Strong communication skills, translating technical jargon for non-technical stakeholders. 

  • Excellent project management and organizational skills. 

  • Comfortable working in a fast-paced startup environment. 

  • Passion for our mission and organizational values that guide our work. 

This is a remote role based anywhere in the US with the ability to work Central time zone hours. This role requires some travel for team meetings and events.

The successful candidate will earn up to $90,000 annually dependent on experience. The CAFE Group offers a generous benefit package including medical, dental, vision, matched 401(k) retirement savings plan, 15 paid time off days per year, a hybrid work environment, a $1,000/year professional development benefit, a monthly cell phone allowance and 11 company holidays per year.
