Position Summary
The Shipping, Receiving & Warehouse Operator is responsible for the accurate receipt, inspection, storage, movement, issuance, picking, packing, and shipment of raw materials, components, supplies, equipment, and finished clear-aligner medical devices.
This position supports inventory accuracy, material traceability, timely production support, and on-time customer order fulfillment. The operator maintains complete warehouse records and performs all assigned activities in accordance with company procedures, safety expectations, and applicable quality and regulatory requirements.
The successful candidate will be organized, dependable, detail-oriented, and comfortable working in a regulated manufacturing environment where documentation accuracy, material identification, lot control, and product quality are essential.
Essential Duties and Responsibilities
Receiving and Material Inspection
- Receive raw materials, components, supplies, equipment, and other incoming deliveries from vendors and internal locations.
- Compare incoming shipments against purchase orders, packing slips, receiving documents, and other applicable records.
- Inspect deliveries for visible damage, shortages, incorrect items, and other discrepancies.
- Verify quantities, item numbers, lot or batch numbers, expiration dates, product specifications, and required documentation.
- Identify and appropriately segregate damaged, expired, suspect, or nonconforming materials.
- Promptly communicate receiving discrepancies to Quality, Purchasing, Production, or other responsible departments.
- Complete receiving transactions accurately in the applicable ERP, WMS, MES, or inventory-management system.
- Organize, retain, and archive receiving documents according to company procedures and document-retention requirements.
Material Storage and Warehouse Operations
- Move, label, identify, and store materials in assigned warehouse locations.
- Perform material put-away and shelving activities accurately and safely.
- Maintain appropriate material identification, status, segregation, and traceability.
- Organize warehouse locations to support efficient material flow, inventory visibility, and safe access.
- Issue materials to production and other internal departments based on approved documentation or system transactions.
- Maintain accurate records of material receipts, transfers, issues, returns, adjustments, and other inventory movements.
- Support loading, unloading, and internal material-transfer activities using approved material-handling equipment.
- Record and manage applicable scrap, waste, or other controlled outbound material movements according to established procedures.
Picking, Packing, and Shipping
- Pick materials and finished goods according to approved orders, production requests, or shipment documentation.
- Consolidate orders and perform final verification of the selected items, quantities, lot information, labels, and shipping destination.
- Pack and label finished clear-aligner products, materials, equipment, and supplies according to established procedures.
- Ensure products are packaged securely to minimize the risk of damage during handling and transportation.
- Prepare packing slips, bills of lading, carrier labels, and other required shipping documents.
- Coordinate domestic and international shipments through approved carriers.
- Complete outbound inventory and shipping transactions accurately and promptly.
- Help ensure that customer orders and internal shipments are accurate and dispatched within required timelines.
Inventory Control
- Maintain accurate perpetual inventory records for raw materials, components, supplies, work-related materials, and finished goods.
- Perform cycle counts, physical inventories, stocktaking, and inventory audits.
- Investigate and support the reconciliation of inventory discrepancies.
- Monitor inventory levels and communicate potential shortages, stock alerts, or replenishment requirements.
- Follow up on critical inbound deliveries and support material expediting when needed.
- Maintain accurate batch, lot, expiration-date, and material-status information.
- Support inventory reporting and the compilation and verification of physical-inventory results.
- Assist with third-party warehouse coordination when assigned.
Quality and Regulatory Compliance
- Perform shipping, receiving, storage, and inventory activities in accordance with approved procedures and the company quality system.
- Follow applicable FDA, ISO 13485, GMP, traceability, and documentation requirements.
- Maintain complete, accurate, legible, and timely warehouse and shipping records.
- Protect the identification, condition, and traceability of medical-device components and finished products.
- Immediately report damaged, expired, mislabeled, unidentified, or nonconforming materials.
- Support internal audits, external audits, and inspections by locating and providing required warehouse records.
- Follow applicable material-status, quarantine, release, and segregation requirements.
- Complete required training before independently performing assigned activities.
Safety and Workplace Organization
- Follow applicable safety procedures, warehouse practices, and company policies.
- Use required personal protective equipment.
- Operate pallet jacks, forklifts, carts, and other approved material-handling equipment safely.
- Maintain clean, orderly, and clearly identified warehouse, staging, receiving, and shipping areas.
- Report unsafe conditions, damaged equipment, spills, and other workplace hazards.
- Participate in warehouse organization, housekeeping, and continuous-improvement activities.
- Perform other duties reasonably assigned based on operational needs.
Required Qualifications
- High school diploma or GED.
- Basic computer skills and the ability to learn ERP, WMS, MES, barcode-scanning, and inventory-management systems.
- Ability to read and accurately process purchase orders, packing slips, labels, inventory records, and shipping documentation.
- Strong attention to detail and commitment to documentation accuracy.
- Ability to organize work, manage priorities, and complete assigned activities within required timelines.
- Ability to work independently while also collaborating effectively with Production, Quality, Purchasing, Customer Service, and other departments.
- Ability to follow written procedures, safety requirements, and quality-system controls.
- Ability to communicate inventory shortages, shipping concerns, material discrepancies, and nonconforming conditions promptly and clearly.
Preferred Qualifications
- One or more years of experience in shipping, receiving, warehousing, distribution, logistics, inventory control, or material handling.
- Experience in a medical-device, healthcare, dental, orthodontic, pharmaceutical, or other regulated manufacturing environment.
- Experience with ERP, WMS, MES, inventory-management systems, or barcode scanners.
- Working knowledge of inventory control, cycle counting, material traceability, lot control, and stock reconciliation.
- Experience preparing domestic or international shipping documentation.
- Forklift certification or willingness and ability to obtain company-required certification after hire.
