Summary
The Finance Associate is responsible for a variety of assignments within the Finance Department, including processing accounts payable transactions, assisting with payroll preparation, preparing monthly bank reconciliations (journal entries and Excel spreadsheets), creating invoices, and supporting the organization’s cash management function. The Finance Associate will work twenty-five hours per week and will report to the Director of Finance. This position will be based in our Long Island City (Queens) office.
Essential Functions
Accounts Payable:
Review all incoming bills, credit card statements, and expense reimbursements for accuracy and ensure that they include appropriate documentation (e.g. receipts), coding information, and approvals from senior managers
Code all bills for the appropriate accounts and cost centers and enter into computerized accounting system within appropriate due dates
Verify information on statements and bills with vendors when necessary
Prepare computer checks on bill due dates
Reconcile cash advances with receipts submitted by staff members
Request W-9 information from vendors and ensure that vendor tax ID or Social Security Number information is accurate
Payroll:
Allocate part-time and full-time payroll to appropriate cost centers
Input all timesheets into Fund E-Z (financial software)
Compile employee vacation, comp, sick and personal time
Additional Responsibilities:
Prepare and make bank deposits
Enter budgets and other financial information into Fund E-Z
Assist with the reconciliation of general ledger accounts
Calculate quarterly state mandated disability insurance payment
Manage Excel spreadsheets to track staff information and share on a monthly basis
Create invoices for schools and other clients
Prepare monthly bank reconciliations, and month end close journal entries
Prepare the weekly cash statements, which are used to prepare cash receipts for entry
Review and validate AP’s for student stipends, and enter information into tracking spreadsheet
Gather information, prepare analyses, and take on additional assignments as directed by the Director of Finance and CFO
Ensures proper responses are given to employees and governmental inquiries
Qualifications/Requirements:
Bachelor’s or Associate’s degree in accounting, finance, or business
1+ years of nonprofit accounting experience preferred
Demonstrated knowledge of bookkeeping
Hands on experience with an online payroll system and accounting software (Prestige, Kronos and Fund E-Z a plus)
Intermediate to advanced Microsoft Excel skills preferred
Ability to communicate effectively with staff and vendors; good interpersonal skills
A collaborative, team player who is detail-oriented, organized and professional
Strong analytical and problem solving skills
