Opportunity Summary:
In collaboration with the Senior Director, Every Child PDX the Program Associate will be integral in crafting and curating the voice of Every Child, PDX, as we posture The Third Way of engagement in the Portland Metro area. This leader is responsible for providing timely and professional communication and support to the ECPDX team including coordinating and documenting meetings; and assisting in the planning and execution of events. As Program Associate your role will include triaging inquiries to respective Every Child PDX team members. The Program Associate is integral in the creation of processes that will enable ECPDX to collect and retain data about our partners. This includes documenting points of contact and inquiries by utilizing the CRM (Customer Relations Management) system.
The Program Associate will collaborate closely with the Mobilizing Community team to stay current on initiative priorities and tone changes and provide support to Every Child, PDX. The Program Associate will need to demonstrate high initiative; asking for meetings, stories, and engagement to push the work forward and help audiences understand the collective movement.
Duties & Responsibilities:
Program Communications
-
Provide support to foster parent recruitment and volunteer events (tabling in the community).

Communicate and schedule volunteer opportunities in Golden.
-
Lead coordination and communication between ODHS (Oregon Department of Human Services) and volunteers for Make Overs. May support with procurement and sourcing.

Attend community events and meetings to continually promote awareness and support work (requires some evenings and weekends).
Team Support
-
Updating all current Every Child PDX documents in SharePoint.
-
Support team with the development and oversight of project structures in Asana.
-
Provide administrative support and collaboration with other departments of The Contingent when needed, use of Fresh Desk or other supports.

Provide administrative support on funding efforts, i.e., grant writing, sponsorships, corporate partnerships, and other donor engagement, assist with CRM entries.

Provide administrative support on scheduling meetings with external partners.

Maintain and coordinate My NeighbOR by working with CX for posting needs, articulating weekly needs, purchasing approved items and coordinating communication and pick-up between CX team, recipient, and volunteer/supporter.

Includes management of Hope to Dream Partnership as well as managing bed storage, coordination, and pickups.

Support Discover and Exploring Fostering meetings: scheduling in CRM, pre and post event communications, set up of materials, foods, and rosters, and tracking of volunteers and interest.
Support Impact Reports
-
Collect information and create the ODHS (Oregon Department of Human Resources) Quarterly Reports.

At times, represent Every Child PDX in the community and take photos at partnership events.

Collect and organize information for external year-end impact reports.
Local Volunteer Management
-
Responsible to support and help develop the volunteer journey from connection to engagement.
-
Acting as point-person for high-capacity volunteers for support materials (Box Site Coordinators, Liaisons, etc., including developing asynchronous engagement tools).
-
Funnel monthly resources and communications to liaisons; warm handoffs, monthly communications, and forms.
-
Monitor and support volunteer onboarding process with Senior Volunteer Manager.
-
Working alongside volunteers and Volunteer Manager to set up and implement Golden. Provide administrative support for Golden tracking and connecting volunteers to their opportunities, as well as any follow-ups.

Organizing volunteer opportunities: Welcome Box audit days, Launch Box collection days, etc.

Organize and facilitate work groups.

Responsible for on-site Box Coordination, auditing, and distribution.
Evaluation Support

Assist in gathering data for evaluation, data entry and reconciliation of data for analysis.
-
Assist in the creation and development of needed forms and data collection processes.

Communicating, supporting, and troubleshooting with partners to support them sharing data.
This role may include a degree of variability in the duties and responsibilities as deemed appropriate by their supervisor. Team members should be prepared for a dynamic work environment.
Education and Experience:

This role is ideal for someone with 2- 3 years of experience with administration, communication, and/or program coordination.

Experience working with Microsoft Dynamics 365, or another CRM (Customer Relations Management) platform.

Employment Terms, Accountability, and Compensation:

This a hybrid position in Portland, Oregon.

This position is part of a matrix management reporting structure.

The Contingent has a flexible work model that supports a blend of in-office, remote, virtual and on the go workers.

This position will be expected to work within The Contingent’s hybrid work policy (2-3 days in the office, 2-3 days from home). Daily schedule and in office days will be a result of collaboration between the employee and their supervisor.

We have team members located in multiple time zones. To facilitate collaboration across teams, core hours for this position are 9-2 pm PST (11-4 pm CST, 12-5 pm EST).
