ASA Project Coordinator Role
General Responsibilities:
The Project Coordinator will support the ASA Industry Relations Department and implementation of sponsored Industry and Leadership Development Programs, grant programs and Commodity Classic.
About ASA:
A farmer-led organization, the American Soybean Association (ASA) has served as the national policy organization that advocates on behalf of U.S. soybean farmers on domestic policy issues and international trade issues for more than 100 years. ASA gives voice to 500,000 soybean growers in 30 soybean-producing states. ASA also jointly owns the Commodity Classic trade show with the National Corn Growers Association. Commodity Classic is the largest farmer-owned trade show in the country with more than 400 exhibitors and more than 11,000 attendees annually.
Specific Responsibilities:
- This entry level role is anticipated to grow into execution of tactics of increasing complexity as knowledge and skills develop.
- ASA-USB Communications and Education Project

- Tracks deliverables of the project, including reports, measurement worksheets, events; advertising and more for the ASA and WISHH projects.

- Provides assistance to financial services in compiling necessary backup for monthly invoices from ASA and WISHH.

- Assists with securing required project approvals for communications components of program.

- Manages the ASA and WISHH state advertising component of the program – Places approximately $650,000 in USB ads in 15+ state publications throughout the year and coordinates payments tracking invoices, tear sheets, etc.

- Assists with proposal development and ASA budget for program.

- Develops and distributes Soy Industry Update e-newsletter distributed six times per year – handles layout and distribution of each issue and pulls content from previously approved ASA and USB stories.

- This role is anticipated to grow into execution of tactics of increasing complexity under this project.
- Provides support with assigned Leadership Development programs/projects which includes registration assistance as needed, producing support materials for programs and meetings, assisting with all content and registration at meeting, printing name tags and other materials, and working closely with the Industry Relations Directors and meeting managers for each event.
- Assists IR team members with invoice requests, check requests, etc.
- Packing and shipping of materials for various events.
- Ag Voices of the Future

- Orchestrates candidate applications and selection process.

- Coordinates with participants on their travel needs for program and assists with responding to questions.

- Provides coordination of program – printing materials, setting up drobox of resources, developing student directory with photos and other documents.
- Assists with managing Ag Voices of the Future students who assist ASA at Classic

- Provide direction regarding their responsibilities at Classic, develop a schedule for them, answer questions regarding travel and other logistics, etc.
- Provides onsite event support for the SoyPAC Auction and registration desk at Commodity Classic as needed.

- Works at the SoyPAC and ASA Information Desk at Classic, also assists with set up and tear down.

- USB-ASA Soy Industry Reception – set up registration form, print name tags, assist with set up and staff event registration.

- Work at the tradeshow booth and assist with clean up after the event.

- Provide assistance with set up for the awards celebration event.

- Helps with other event needs that arise at Classic.
- Develops and maintains calendar of ASA and state events.
- May assist with tracking advertising and invoicing of corporate advertising in ASA communications vehicles – magazine, newsletter and podcasts.
- Manages industry contact list and may assist with updating other distribution lists.
- Participates in driving the success of other ASA industry and corporate meetings, events and programs as needed.
Development Opportunities as Knowledge and Skills Grow
- Represent ASA at select industry events/trade shows or meetings as sponsored by USB or other industry partners.
- Develop communications materials relevant to ASA projects.
- Participate in ASA Leadership development programs.
- Identify ways to improve programming and implement systems to do so.
- Leverage creativity and industry knowledge to generate ideas for industry relations programs.
Reporting Structure: This position reports to the Director of Industry and Stakeholder Relations and may be asked to support the needs of others on the Industry Relations team.
Travel Requirements: Occasional domestic travel. This position will attend the entire Commodity Classic event, which is a multi-day, all-hands-on-deck trade show and event that crosses over a weekend. Other travel could potentially include soybean state staff meetings, educational opportunities or other industry relations events.
