Applied Visions is an established and growing software development company based in Northport, and we are seeking a dynamic and resourceful office clerk to support a tight-knit team, anticipate their needs, and resolve operational and administrative issues before they arise. What You’ll Do:
- Serve visitors by greeting, welcoming, directing and announcing them appropriately
- Answer, screen and forward any incoming phone calls while providing basic information when needed
- Receive and sort daily mail/deliveries/couriers, run errands, maintain coffee machines, order supplies, perform special projects as needed
- Perform other clerical duties as needed such as filing, photocopying, collating, faxing data entry, etc.
- Assist with keeping office tidy and neat.
- Possess advanced knowledge of Microsoft Office Suite, with particular strength in Word and Excel. You can correctly format documents in your sleep, can reformat old documents and handle a mail merge without batting an eyelash
- Maintain correspondence, update mailing lists and customer relationship management (CRM) system records
- Organize complex domestic travel arrangements, prepare itineraries
- Prepare and process expense reports, handle work orders and processing requisitions
- Arrange meetings, create agendas, maintain calendars, book conference rooms, handle catering, and create presentations
- Time sheet processing and management, running reports, light bookkeeping. Knowledge of Quickbooks a big plus!
You should have:
- Advanced knowledge of Microsoft Word, Excel, Outlook
- Professional appearance and solid communication skills; both written and verbal
- Ability to be resourceful and proactive in dealing with issues that may arise
- Ability to organize, multitask, prioritize and work under pressure
- High school diploma
- Working experience in similar roles a plus
