We are seeking a dynamic and organized individual to join our team as an Administrative Assistant/Project Coordinator. In this role, you will be the backbone of our accounting department, providing essential administrative support while also taking on responsibilities related to project coordination. The ideal candidate is a proactive multitasker who can efficiently manage various duties, ensuring a smooth workflow and contributing to the overall success of the team.

 

Job Responsibilities:

  • Provide administrative support to the accounting department, including data entry, file management, and maintaining office supplies.

  • Assist in scheduling meetings, appointments, and managing calendars for department members.

  • Plans, coordinates, and ensures schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the senior management team time and office for all employees.

  • Organize and maintain physical and digital filing systems.

  • Coordinate travel arrangements and accommodations for department members.

  • Assist in the preparation of reports, presentations, and documentation.

  • Act as a point of contact between the finance department and other internal/external stakeholders.

  • Work closely with project managers to coordinate project activities and timelines.

  • Assist in the development and maintenance of project schedules, ensuring deadlines are met.

  • Coordinate project meetings, take minutes, and distribute relevant documentation.

  • Facilitate communication between project teams, stakeholders, and other departments.

  • Help track project expenses and maintain budget documentation.

  • Assist in the preparation of project status reports and presentations.

  • Collaborate with cross-functional teams to ensure project goals align with overall company objectives.

  • Performs other duties as assigned

 

Qualifications/Requirements: 

  • Bachelor’s degree required

  • Previous experience in an administrative support role is preferred.

  • Strong organizational and time-management skills.

  • Proficient in using Microsoft Office Suite and other common office software.

  • Excellent communication and interpersonal skills.

  • Detail-oriented with a high level of accuracy.

  • Proactive and able to work independently.

  • Previous experience in project coordination or administration is a plus.
