Position Summary

Madison Square Boys & Girls Club is seeking an experienced, hands-on, and highly motivated Maintenance & Facilities Director to oversee all aspects of facilities maintenance, repair, safety, and operations throughout the organization.

Reporting directly to the Chief Operating Officer, the Maintenance & Facilities Director provides leadership and oversight for facility operations across four buildings totaling approximately 150,000 square feet located throughout Harlem, Brooklyn, and the Bronx. The position is responsible for maintaining safe, attractive, efficient, and code-compliant facilities while supervising maintenance personnel, managing contractors, overseeing capital improvement projects, and directing preventive maintenance programs.

This is a multi-site leadership position requiring regular travel between Madison's clubhouses throughout New York City. The Director will routinely visit each location to inspect facilities, oversee maintenance activities, coordinate contractors, respond to operational issues, and ensure consistent maintenance standards across the organization.

The successful candidate will possess strong leadership, organizational, and technical skills while maintaining a willingness to perform hands-on maintenance work. In addition to directing maintenance staff and outside vendors, the Director is expected to perform and oversee minor plumbing, electrical, carpentry, painting, drywall, and general building repairs whenever practical.

Essential Duties and Responsibilities

Facilities Operations

  • Direct and oversee the daily operation and maintenance of all Madison facilities.
  • Develop and administer a comprehensive preventive maintenance program.
  • Maintain facilities in a safe, clean, attractive, and fully operational condition.
  • Conduct routine inspections of buildings and grounds to identify maintenance needs.
  • Develop annual maintenance plans and facility improvement priorities.
  • Maintain computerized work order and preventive maintenance systems.
  • Ensure timely completion of maintenance requests.

Building Systems

Direct the operation, inspection, maintenance, and repair of:

  • HVAC systems
  • Plumbing systems
  • Electrical systems
  • Fire alarm and life safety systems
  • Security and access control systems
  • Emergency generators
  • Lighting systems
  • Elevators
  • Roofing and building envelope systems
  • Mechanical equipment
  • Building automation systems

Hands-On Maintenance Responsibilities

Perform or oversee minor repairs and maintenance including:

  • Plumbing repairs including faucets, toilets, valves, fixtures, traps, drains, and water supply components.
  • Minor electrical repairs including switches, outlets, lighting fixtures, ballasts, lamps, breakers, and controls.
  • Carpentry repairs including doors, locks, hardware, cabinetry, shelving, trim, furniture, and windows.
  • Drywall repair, patching, taping, painting, and finishing.
  • Ceiling tile replacement.
  • Flooring repairs.
  • Installation of shelving, bulletin boards, equipment, and furnishings.
  • General building maintenance and preventative repairs.
  • Routine troubleshooting of facility-related issues.

Staff Leadership

  • Recruit, supervise, train, mentor, and evaluate maintenance personnel.
  • Assign work priorities and daily schedules.
  • Establish performance expectations and accountability.
  • Promote teamwork and exceptional customer service.
  • Conduct performance evaluations.
  • Develop staff training and professional development plans.

Vendor & Contractor Management

  • Solicit competitive bids and negotiate vendor agreements.
  • Manage contracts for maintenance, custodial, security, landscaping, waste removal, HVAC, elevators, and other facility services.
  • Coordinate and supervise outside contractors.
  • Ensure quality workmanship and timely project completion.
  • Review and approve invoices after verifying satisfactory completion of work.

Capital Improvement Projects

  • Assist in planning and implementing renovation and capital improvement projects.
  • Coordinate architects, engineers, consultants, and contractors.
  • Monitor project budgets, schedules, and quality.
  • Provide recommendations regarding facility improvements and long-range capital planning.

Safety & Regulatory Compliance

  • Ensure compliance with OSHA, FDNY, DOB, DOH, EPA, and all applicable federal, state, and local regulations.
  • Maintain inspection records and required certifications.
  • Participate as a member of Madison's Safety Committee.
  • Develop and maintain emergency response procedures related to facility operations.
  • Respond promptly to facility emergencies.

Budget & Asset Management

  • Develop and manage departmental operating budgets.
  • Monitor expenditures and identify cost-saving opportunities.
  • Maintain inventory of maintenance supplies, equipment, tools, and replacement parts.
  • Prepare purchase requests and maintain vendor relationships.

Qualifications

  • Minimum of five (5) years of progressively responsible facilities management experience.
  • Minimum of three (3) years of supervisory experience.
  • Experience managing multiple facilities is strongly preferred.
  • Experience in nonprofit organizations, schools, community centers, healthcare, or institutional facilities preferred.

Required Knowledge, Skills & Abilities

The successful candidate will possess:

  • Thorough knowledge of commercial building maintenance and preventive maintenance practices.
  • Working knowledge of HVAC, plumbing, electrical, mechanical, carpentry, painting, and general building maintenance.
  • Ability to safely diagnose and perform minor repairs in multiple building trades.
  • Knowledge of OSHA regulations, building codes, and life safety requirements.
  • Experience managing service contracts and vendor relationships.
  • Strong project management and organizational skills.
  • Excellent written and verbal communication skills.
  • Strong leadership and employee development abilities.
  • Excellent customer service orientation.
  • Ability to prioritize multiple assignments while meeting deadlines.
  • Strong analytical and problem-solving skills.
  • Proficiency with Microsoft Word, Excel, Outlook, and computerized maintenance management systems (CMMS) is preferred.
  • Ability to work independently while fostering collaboration across departments.

 

Physical Requirements

  • Ability to lift and carry up to 50 pounds.
  • Ability to climb ladders and work from elevated platforms.
  • Ability to stand, walk, bend, kneel, crawl, and perform physical maintenance work.
  • Ability to respond to after-hours facility emergencies.

Travel Requirements

This position requires regular local travel between Madison Square Boys & Girls Club facilities located in Harlem, the Bronx, and Brooklyn. The Maintenance & Facilities Director is expected to routinely visit each clubhouse to inspect facilities, oversee maintenance projects, coordinate vendors and contractors, respond to operational issues, and ensure consistent maintenance standards throughout the organization.

The successful candidate must possess a valid driver's license and have reliable transportation or the ability to travel efficiently throughout New York City using public transportation or other means. Occasional travel outside of normal business hours may be required to respond to facility emergencies or oversee critical maintenance activities.
