Executive Assistant

We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and operational support to senior leadership. This role requires exceptional judgment, attention to detail, and the ability to anticipate needs in a fast-paced, high-growth environment. The Executive Assistant will act as a trusted partner, helping leadership operate efficiently, stay organized, and focus on strategic priorities.

Key Responsibilities

Executive Support

· Manage complex calendars, scheduling meetings across multiple time zones and priorities

· Coordinate internal and external meetings, including preparation of agendas, materials, and follow-up items

· Serve as a gatekeeper for executive communications, prioritizing emails, calls, and requests

· Draft, edit, and proofread correspondence, presentations, and internal communications on behalf of executives

Operational & Administrative Support

· Arrange domestic travel, including itineraries, accommodations, and expense reporting

· Track action items, deadlines, and deliverables to ensure follow-through and accountability

· Maintain organized records, files, and documentation with a high degree of confidentiality

· Assist with preparation for board meetings, executive leadership meetings, and client meetings

Coordination & Communication

· Liaise with internal teams, clients, partners, and external stakeholders on behalf of leadership

· Support cross-functional initiatives by coordinating logistics, timelines, and communication

· Help manage special projects and ad hoc initiatives as needed

Confidentiality & Professionalism

· Handle sensitive information with discretion and sound judgment

· Represent leadership and the company with professionalism at all times

Qualifications

· 2+ years of experience as an Executive Assistant or in a similar senior administrative role

· Proven experience supporting senior executives in a fast-paced, professional environment

· Exceptional organizational and time-management skills

· Strong written and verbal communication skills

· High level of discretion, integrity, and professionalism

· Proficiency with Microsoft Office, Google Workspace, and collaboration tools (e.g., Slack, Teams, Zoom)

Preferred

· Experience supporting executives in a technology, financial services, or SaaS environment

· Familiarity with board support and executive-level reporting

· Ability to anticipate needs and operate independently with minimal direction
