POSITION TITLE:  Administrative Assistant

 

The Administrative Assistant will be a key member of the Business Operations team, who will support the entire LTC team, with a focus on our Trust Administration team.  This position will perform a variety of administrative duties to ensure LTC delivers top-quality service.  Laurel Trust Company is looking for a highly organized, energetic professional to reinforce a strong internal customer service culture with a high standard of excellence.

RESPONSIBILITIES OVERVIEW:

  • Receive deliveries, sort, and distribute mail, send packages, file, and copy, on a daily basis.
  • Order supplies, office materials, and meals.
  • Ensure meeting rooms, office kitchen and all common areas are always clean and tidy.    
  • Ensure the entire office is stocked, to include but not limited to: conference rooms, bathrooms, supply room, kitchen snacks, and dishes. 
  • Assist with scheduling meetings and maintaining multiple calendars.
  • Answer incoming phone calls, transfer accordingly, or take messages, in a friendly and professional manner. 
  • Greet all incoming guests for meetings or office visits.
  • Ensure guests are set up in an appropriate space and have everything they need (offer beverages, etc.). Inform team members of guests’ arrival. 
  • Provide back-up to the Executive Assistant(s).
  • Draft business documents, letters, policies, emails, and other items as needed.
  • Help prepare and track expenses according to policy.
  • Manage or support the team for companywide events; responsibilities include complete planning and logistic for the execution of events.
  • Coordinate travel for team members when appropriate.
  • Adhere to all compliance and internal control procedures.
  • Be an active member of the operations team and assist others as needed.
  • Perform notarizations (if you are not currently a Notary Public you may be asked to become one Training and certification expenses will be covered by LTC).

  • Have an Associate’s degree or equivalent education and experience.
  • Possess a minimum of 3+ years of experience as an Administrative Assistant.

OTHER REQUIREMENTS:

  • This position will require the individual to authorize a personal background check with the Nevada Financial Institutions Division.
  • This job requires the employee to sit for approximately 6-7 hours a day and use a keyboard and mouse for repetitive motion. There will be >15 lbs. to lift, push, or pull in this job.
