About the Role:
Administrative Support
Track status of all accepted manuscripts in production via maintaining a Production Schedule database.
Assist with correspondence to Journal authors, as needed and as requested by the Managing Editor.
Manage all copyright/permission requests for published Journal content.
Handle all Journal invoicing of publication fees, advertising space and reprint orders.
Ensure all accepted manuscripts and their various iterations are stored/maintained in the COPD Foundation cloud storage.
Editorial support
Prepare unedited, undesigned manuscripts for posting to Articles in Press within 2-3 days of acceptance.
Copyedit accepted manuscript references to conform to American Medical Association style guidelines (as directed by the Managing Editor)
Maintain the overall Journal production schedule (manage advertising deadlines, track author correspondence, track status of requested manuscript-related receivables, maintain timeline of issue launch)
Proofread online content as directed by the Managing Editor
Assist with Journal promotions/communications
Work with the COPD Foundation Communications staff to create appropriate, Journal-related content for promoting on Twitter and Linked-In
Maintain a schedule of Journal communications/promotions
Look for new opportunities to promote the Journal and its content
Serve as the primary contact for all Journal advertising and reprint orders
Respond to inquiries, provide information and ensure that appropriate follow-up occurs with all requests.
Work with the Managing Editor to complete orders for advertising space.
Work with the Managing Editor and third-party vendor to complete orders for hard copy reprints.
Maintain advertiser database/schedule to ensure advertisements are posted/removed in alignment with insertion order terms.
Coordinate with Managing Editor and Editor in Chief to ensure advertisements are appropriate/approved for insertion in the Journal.
Look for opportunities to expand and improve the Journal’s reprint business—researching and constantly canvassing best practices, market-driven prices, third-party vendor options, etc.
Use Google Analytics to prepare reports on JCOPDF web analytics (page views, unique sessions, etc.)
Work with the Managing Editor and COPD Foundation communications staff to find opportunities to expand and improve the Journal’s advertising business—researching potential clients and looking for opportunities to promote the Journal’s advertising offerings.
Work with the Foundation’s IT team to ensure ads are correctly placed online for publication.
Work with the Foundation’s IT team to ensure articles are appropriately prepared for reprint orders.
Fundamentals for Success:
College degree or equivalent experience
Demonstrated success developing and coordinating a system for organizing, tracking and maintaining complex, multi-step projects/processes.
Experience in an office environment and proficiency in Microsoft office
Excellent verbal and written communication skills
Adaptability and ability to work well under pressure and meet deadlines
Proofreading skills and attention to detail
Experience supporting an online publication would be a plus
Experience using Google Analytics would be a plus
