Are you someone who is always thinking two steps ahead? The go-to organizer among your friends? We are searching for a poised, detail oriented and exceptionally organized individual who is excited to support a fast-moving nonprofit CEO and to help keep our operations running smoothly.

 

Our CEO, Amy Nelson, is effectively VFA’s Chief Fundraising Officer, serving as the face of VFA to all external stakeholders and funders. You will work closely with her, maintain her schedule, know the status of her relationships, and you will be critical to the success of the fundraising team.  

 

You’ll also work with the our COO and other members of the team to execute people operations, like assisting in the onboarding of new team members and making sure we never forget to celebrate a birthday or work anniversary.

 

What you’ll do:

 

Supporting VFA’s CEO, Amy Nelson (60%)

  • Manage Amy’s calendars and activities, schedule meetings and calls, and keep her apprised of what’s on the radar

  • Handle travel planning and logistics for everything from speaking engagements to press events

  • Serve as a filter, helping handle some of the communications and tasks that can take things off Amy's plate

  • Get to know and build relationships with VFA supporters

  • Travel to Training Camp and work there full-time supporting Amy and the overall program

 

People & Office Operations (40%)

  • Manage the platforms that keep our remote team connected and efficient, like Slack, GroupMe, Asana, Google, & Dropbox

  • Plan and execute celebrations within the Team, like monthly birthday & anniversary gatherings, and ensure that guests and newly hired team members feel welcomed

  • Assist in the onboarding of new team members

  • Assist in hiring interns

  • Manage vendor relationships, especially those specific to our New York headquarters, that keep the office comfortable and functional (housekeeping, coffee service, etc.)

 

Everything else

  • Write and speak with passion and purpose, projecting confidence and doing a great job of representing VFA

  • Participate in Fellow Recruitment & Selection by reviewing applications, conducting interviews, and facilitating at Selection Days, as is expected of all VFA Team members

  • You will also support VFA’s Diversity, Equity, and Inclusion initiatives, as is expected of all team members.

 

There’s a lot to get done, and a lot of opportunities to grow within the role and organization. VFA promotes from within -- past Executive Assistants at VFA have moved into roles in marketing, communications, operations and other areas of the organization.

 

What you might have already done:

  • Have experience in a detail-heavy, administrative or leadership role, such as in a student organization, an internship, or in a previous role as an executive assistant.

  • Had experience in people operations or office management

  • Bonus points if you are an excellent writer, as there will be opportunities to craft a range of content!
