GENERAL STATEMENT:

Specific responsibilities include preparing task orders, stop work notices and other contract documents at the direction of the Real Property Budget & Contract Section Manager.  The work includes both administrative and basic support work but also maintaining databases and monitoring progress against established budgets. Additional responsibilities may include, reviewing, conducting research, and providing recommendations to the Real Property Budget & Contract Section Manager on contracts that are in procurement. Reviewing invoices and updating budget reports.

TYPICAL DUTIES:

Program-specific activities will include the following:

·       Responsible for the preparation of task orders, stop work notices and other contract documents.

·       Completion of all assigned tasks accurately and on time. 

·       Update and maintain status and budget reports.

·       Updates Authority’s system of record as needed.

·       Assists with data research of historical information.

·       Assist with researching and reviewing contracts in procurement.

·       Reviewing invoices and updating financial records


Minimum Requirements:

This individual will have:

·       Proven work experience as an administrative assistant/analyst.

·       Proficiency in Microsoft Office Suite.

·       Hands-on experience with office equipment (e.g. printers).

·       Professional attitude and appearance.

·       Solid written and verbal communication skills.

·       Ability to be resourceful and proactive when issues arise.

·       Excellent organizational skills.

·       Multitasking and time-management skills, with the ability to prioritize tasks.

·       Research and analysis.

·       High school diploma.

 

DESIRABLE QUALIFICATIONS:

·       Demonstrate familiarity and ability to work with databases.

·       Ability to prioritize workload elements.

·       Be able to create database spreadsheets, graphs, charts, and reports.

·       Be able to effectively communicate with all levels of management and staff orally, in writing, and with visual aids.

·       Accounting background.

·       Ability to learn new tasks and software quickly.
